Purpose and the PAIA Guide

This manual describes records held by the private body and how to request access. The Information Regulator makes a Guide available explaining how to use PAIA and related remedies. Request the current Guide and official forms from the Information Regulator or consult its official channels.

Records under other legislation

Records may be kept where applicable under South African company or sole-proprietor, consumer protection, electronic communications, tax, employment, intellectual-property, access-to-information, and data-protection legislation. Applicability depends on the record and operations at the relevant time.

Categories of records

  • Operational, governance, policy, and correspondence records.
  • Customer, account, support, assessment, profile, and generated-output records.
  • Supplier, service-provider, affiliate, and contractual records.
  • Financial, transaction, tax, and payment-processor records.
  • Product, software, security, incident, intellectual-property, and website records.
  • Personnel records, if applicable.

POPIA processing

We process account, profile, assessment, output, transaction, support, technical, and security information for the purposes described in the Privacy Notice. Recipients may include Supabase, Groq, Google AI, Paystack, hosting and security providers, professional advisers, and authorities where lawfully required. Cross-border processing may occur with reasonable safeguards. Reasonable access controls, authentication, transmission security, provider controls, and operational measures protect records.

How to request access

Submit the current prescribed PAIA request form to the Information Officer using the contact details above. Identify the requested record, the right you seek to exercise or protect, why the record is required for that purpose, your preferred access method, and sufficient identity and contact details. A requester acting for another person must provide proof of authority. Access is subject to PAIA grounds for refusal and other applicable law.

Fees and decision

Any request or access fee is the amount prescribed by law at the time of the request. The Information Officer will communicate applicable fees and the decision using the process and periods required by PAIA. Remedies

If a request is refused or not decided as required, remedies available under PAIA may include approaching a competent court and, where applicable, making a complaint to the Information Regulator. Seek current official guidance or legal advice about procedure and time limits.
